In this article, we will explain how to create an AI bot that works with a product catalog using Google Sheets, based on the experience of the company Yesim. We will cover the process of setting up the bot, creating a product database, and handling pre-orders. This article is intended for those who want to boost their sales with personalized customer service around the clock, without breaks or weekends.

Why You Need an AI Sales Bot

In today's world, customers do not want to wait. If they cannot get information or products from you, they will turn to competitors who can offer the same thing faster and perhaps cheaper. This is especially relevant for cold leads—the audience that Yesim actively works with.

An AI bot is a program that operates autonomously, without human intervention, and performs some of the functions of staff members. When the bot has completed its task, it can call an operator, providing all the necessary information about the customer or order.

A quick response to customer inquiries increases the chances of making a sale—this is the main function of an AI bot. At Yesim, these smart bots are designed to solve the following tasks:

  • Sales automation: The bot answers customer inquiries 24/7, selects products, and processes pre-orders without the need for a manager.
  • Enhanced user experience: Customers can easily search for products, learn about their specifications, and place pre-orders through messaging apps.
  • Cost reduction: The AI bot reduces the load on operators and lowers customer service support costs.
  • 24/7 availability: It serves customers around the clock without breaks or weekends.

Previously, such solutions were unavailable to small and medium-sized businesses due to high costs; however, they can now be created without programming using AI bot creation services. We will create a bot using the Wikibot service.

Creating a Product Catalog

Before starting the bot creation process, prepare a Google Sheet with two tabs: "products" (product catalog) and "preorders" (pre-orders). The "products" tab will have the following columns:

  • Product ID
  • Category
  • Price
  • Quantity

You can set up automatic exports of the product catalog to this Google Sheet.

The "preorders" tab will contain data about ordered products, customers' contact information, and the quantity ordered. This tab will be filled out by the bot when a customer places a pre-order.

Creating the Bot

  • Go to the following link: Create a bot on Wikibot.
  • Enter the bot's name, for example, "My Seller," and select the communication language.
  • Click the "Create" button. The bot setup wizard will open; click the "Skip" button for the colleague invitation.
  • Create a link and share it with your colleagues.

Now the bot is ready, and you can access your dashboard in the "Training" / "Agents" section.

Writing the Agent's Instructions:

You are an online consultant for selling goods and services at Yesim. Your task is to respond to user inquiries about product availability and process pre-orders. You follow scripts for product search and pre-order processing.

Configuring the Bot to Work with the Catalog and Pre-Orders

This part may seem complicated, but if you have any questions, you can reach out to Wikibot support.

To allow the bot access to the Google Sheet, share it with editing permissions so the bot can refer to Google.

Testing the Bot

Now that we have the bot's instructions and functions that allow it to search for products and save pre-orders, it's time to test it.

Check if new rows with customer data have appeared in the "preorders" tab in your Google Sheet.

Now the bot is ready for operation! It can be connected to Telegram, social networks, chat widgets on your website, and help desks. This can be done in the "Settings" => "Connections" section.

Real Examples of the Sales Bot in Action from Yesim's Experience

Yesim employs the AI bot to automate customer support processes, enhancing user service by providing information about plans and services. The bot responds quickly to inquiries, significantly simplifying interactions.

The company uses the sales bot for consultations on eSIM technologies and related products. The bot helps customers quickly find the information they need and place pre-orders, which greatly improves the user experience. We have already increased our sales with the help of the AI bot and recommend you give it a try!
